Who is responsible for your information

LE ROUX Counselling Practice is responsible for personal information processed in connection with enquiries, bookings and counselling services. Privacy questions and requests may be sent to info@lerouxcounsellingpractice.co.za or delivered to 69 Willie du Plessis Road, Fichardt Park, Bloemfontein, 9317.

This notice applies to information received through this website, email, telephone, WhatsApp, in-person and online sessions, and practice administration. It should be read together with any consent form or professional services agreement provided to a client.

Information we may collect

  • Identity and contact details, including names, email addresses and telephone numbers.
  • Booking preferences and information about the person for whom counselling is requested.
  • Information voluntarily included in an enquiry, email or WhatsApp message.
  • Information needed for counselling, safeguarding, referrals, consent, invoicing and maintaining appropriate practice records.
  • Limited technical information produced when the website is visited, such as server logs, browser type and IP address.

Why and how we use information

Information is used only where there is a lawful reason to do so, including responding to a request, arranging or providing services, performing an agreement, complying with legal or professional duties, protecting legitimate interests, or where valid consent has been given.

  • Responding to enquiries and assessing whether the requested service is suitable.
  • Booking, confirming, rescheduling and administering appointments.
  • Providing counselling within the practitioner's professional scope and arranging referrals where appropriate.
  • Maintaining confidential records, issuing invoices and meeting legal, ethical and safeguarding obligations.
  • Protecting clients, the practice and others where disclosure is permitted or required by law.

Sensitive information and children

Counselling information may include details about mental or physical health, wellbeing, beliefs, relationships or other special personal information. The practice treats this information as confidential and processes it only for appropriate counselling, administrative, safeguarding or legal purposes.

Where information relates to a child, the practice will obtain the consent or other lawful authority required from a competent person and will explain age-appropriate confidentiality and its limits. A website enquiry does not replace the consent documentation required before counselling a minor.

Communication, service providers and disclosures

The website contact form prepares an email in the visitor's own email application; the website does not save the completed form or send it to a practice database. Once sent, the message is handled by the visitor's and the practice's email providers. WhatsApp, hosting, video-session, payment and other technology providers may process limited information when those services are used and may operate outside South Africa under their own privacy terms.

Personal information is not sold. It may be shared with an authorised service provider, referral professional, parent or guardian, emergency service, regulator or other person only with appropriate authority, to provide the requested service, or where permitted or required by law. Only information reasonably necessary for the purpose will be disclosed.

Security, retention and your rights

Reasonable physical, organisational and technical safeguards are used to protect personal information. No email, messaging, video or internet service can be guaranteed to be completely secure, so please avoid including unnecessary clinical detail in an initial website message.

Information is kept only for as long as reasonably needed for the purpose for which it was collected and for applicable legal, professional, accounting or safeguarding requirements. It is then securely deleted, destroyed or de-identified where appropriate.

Subject to applicable law, you may ask whether the practice holds your personal information, request access or correction, object to certain processing, withdraw consent where consent is relied upon, or request deletion where the information no longer needs to be retained. Website services and updates

At the date of this notice, Google Analytics and the Facebook/Meta Pixel are not active on this website. The site may load web fonts from Google and the hosting provider may create standard technical logs. If non-essential analytics or advertising technologies are introduced, this notice and the site's consent controls will be updated as appropriate.
